Workspace as-a-Service

What is WaaS?

WaaS stands for "Workplace as a Service" and is a model for how companies can have workplaces delivered as a unified service instead of owning and managing the equipment themselves. With WaaS, the company gets access to the necessary IT equipment - typically computers, phones, tablets and associated software - for a fixed monthly fee.

The solution often includes the entire lifecycle of the work equipment: from purchasing and provisioning to maintenance, support and replacement. This means that employees always have access to up-to-date and well-functioning equipment, while the organisation is freed from logistics, installation and ongoing administration.

WaaS is particularly useful for organisations that want to free up internal resources and ensure consistent working conditions for their employees - both in the office and when working remotely. It can be particularly relevant in organisations with many employees, high employee turnover or changing equipment needs.

 

What is the idea behind WaaS?

WaaS comes from the same mindset as other "as a Service" models, such as Software as a Service (SaaS) and Infrastructure as a Service (IaaS). The basic principle is that the company does not need to own and maintain the technology that supports the workday - instead, it is purchased as a service with ongoing updates and operation included.

There is no single definition of what WaaS covers, but typically the solution consists of:

  • Hardware (PC, monitor, phone, tablet, etc.)

  • Software (e.g. operating system and basic programmes)

  • Preparation and installation

  • Ongoing technical support

  • Maintenance and repair

  • Replacement in case of defect or obsolescence

  • Optional security solutions and management via MDM (Mobile Device Management)

WaaS can be customised to your business needs and can be scaled up and down depending on the number of employees.

 

What are the benefits and considerations?

The benefits of WaaS include

  • Predictable costs: With a fixed monthly price, it's easier to budget.

  • Less administrative work: The company no longer has to manage purchasing, repairs and replacements.

  • Up-to-date equipment: Employees always have access to modern technology.

  • Consistent setup: Everyone gets the same equipment, making support and onboarding easier.

 

But there are also considerations:

  • The total cost of ownership can be higher over time than buying outright.

  • The company often commits to a contract period.

  • The solution is dependent on the provider delivering good and stable service.

 

When does WaaS make sense?

WaaS is not necessarily the right solution for everyone, but can be particularly relevant if

  • You want to free up time in the IT department.

  • You need to be able to scale up or down quickly.

  • You want to ensure consistent and secure workplaces - also for remote work.

  • You want to avoid large one-off investments in IT equipment.
